How to Use Reserve Labs

Getting Started

  • 1. Edit business information

    Edit information about your business, it will be visible for your clients.

  • 2. Edit Hours of Operation

    Your clients won't be able to schedule an appointment after your work hours or during your days off. You will be able to set up additional day offs and vacations later in your calendar.

  • 3. Create your first location

    You don't need to use your precise location, but make sure that the timezone of the location will match your timeline, it will be later used to schedule your appointments.

  • 4. Add a specialist

    You will be added as a specialist by default, but you need to update the specialist with the location information where they provide services.

  • 5. Assign location to each specialist

    They won't be available for booking without assigned location. (Click on 'Locations' and select one where the specialist will be providing services)

  • 6. Add your services

    Select the 'Services' tab on the sidebar and click on 'Add new service' button. Enter all of the information and click on 'Create Service'

  • 7. Assign specialists to the created services

    Select 'Specialists' tab on the side bar and click on 'services' on the specialist card which you want to assign a service to. Select services from the dropdown menu.

  • 8. You're all set!

    To see how a client will view your page, select 'Profile' on the side bar and click on 'View as Client' button. Share the link with your clients and they will be able to schedule the appointments!

Managing Your Specialists

  • 1. Adding specialist information

    You can add more information for each specialist, but your clients won't see their contact information.

  • 2. Booking appointments for specialists

    You can book an appointment for a specialist yourself: Select 'Calendar' tab, select the specialist from the dropdown on top of the page, select date and time for the appointment, enter the selected services and the appointment and click on 'create an appointment'. Your client will receive an email with details about the appointment.

  • 3. Full day bookings

    You can book a full day or multi days appointments for a specialist to account for additional day offs or sick days.

  • 4. Cancelling appointments

    If you want to book a full day for a specialist who has appointments at that day, you need to cancel the appointments first, your clients will be notified that their appointment was canceled.

  • 5. Marking specialist as inactive

    You can mark a specialist as inactive from the 'Specialists' tab if you want to prevent bookings for them for an unlimited time.

Managing Your Services

  • 1. Adding services

    You can add as many services as you want, your client will be able to book multiple services with a single appointment and the time will be calculated based on the information that you provided.

  • 2. Pausing services

    If you want to pause bookings for a specific service, you can mark it as 'inactive' on the 'services' tab. To resume the bookings for it, set it back to active.

Managing Your Appointments

  • 1. Client booking

    Your clients will be able to schedule an appointment with any of your specialists who has been assigned to a location and to at least one service.

  • 2. Appointment confirmation

    Your clients will receive an email with information about the upcoming appointment, the confirmation email will be translated to their preferred language (if different from yours)

  • 3. Appointment status

    Your clients will need to confirm the appointment from their emails, confirmed appointments will be marked as 'confirmed' on your calendar view. You still will be able to see the full information about the appointment, even if it wasn't confirmed by client, you may want to contact the client yourself or cancel the appointment.

  • 4. Cancelling appointments

    You can cancel any appointment that was scheduled by a client, they will be notified by email. Your clients can also cancel an appointment that was previously scheduled, it will be removed from your calendar.

Filtering Spam Appointments

  • 1. Contact information

    Your clients will be forced to provide their contact information in order to schedule an appointment with you.

  • 2. Confirmed appointments

    Only clients who confirmed their appointments by email will be marked as 'confirmed'

  • 1. Client data management

    Manage data about your clients, such as how many appointments they have had with you previously, measure percentage of canceled appointments

  • 2. User blocking

    Block users from scheduling appointments with you: Keep a black list of clients that won't be able to schedule an appointment with you, they won't be notified that you have blocked them, but they won't be able to schedule an appointment.

  • 3. Pre-payment requirement

    Require a pre-payment for your appointments, users won't be able to schedule an appointment with you without paying for it.
